From vision to reality: how we designed our ideal workspace

In 2023, we purchased an office in Via Tofane 33, in the Turro district of Milan, overlooking the Martesana canal. That moment marked the beginning of an ambitious renovation project to create a dynamic, multi-functional work environment developed through the same processes and methods we use with our clients.

Getting Started

We conducted an internal feasibility study before the purchase to assess the space’s potential and determine whether it could meet our needs.

Once we confirmed our choice, we assembled a dedicated project team and outlined a detailed timeline to coordinate all the activities.

During the summer of 2023, we arranged a site visit so the entire team could get involved and see the roadmap for the upcoming works.

Listening to the Team

We launched a structured feedback process to ensure that the new office would reflect the needs of the team and the leadership.

Everyone took part in a survey exploring their experience at our former office in Melzo, with targeted questions on:

We also introduced the ABW List, a diagnostic tool developed in-house. Inspired by the Activity-Based Working model - which views the workplace as a tool to support different types of activities - it helped us define the ideal balance between remote work and the types of spaces needed on-site.

From Feedback to Design

With all the insights collected, we organized a co-design day at a countryside farmhouse. The aim was to share findings, work collaboratively on ideas, and ensure everyone felt they had a voice in shaping the new space. Activities included:

In the afternoon, we kicked off the Workicontest, a creative challenge in which everyone submitted their vision for the office layout.

The winning proposal, which we later implemented with a few tweaks, came from Jacopo.

Building Workiland

All the research, listening, and co-design work paid off. The result is a workspace that genuinely reflects the needs of the team, with a variety of tailored areas:

Design-wise, we carefully selected materials and colors, focusing on acoustic comfort and overall well-being. The office has height-adjustable desks, ergonomic chairs, and dual screens.

The photos show how versatile the layout is. We host trainings, events, and presentations in the open space. The meeting room is flexible; we fold and move the table as needed.

Guidelines and Follow-Up

We moved into the new space in April 2024. Once we settled in and observed how we used it, we set clear guidelines to ensure we used every resource efficiently and intentionally.

We ran a follow-up survey six months after the move to gather feedback and identify improvements. As a result, we rearranged the adjustable desks, improved parcel and post handling, and reorganized the material library.

Today, Workiland is a living example of a functional and people-centered workspace. The impact has been tangible: thanks to clear and shared rules, the space meets the team’s needs and is used effectively.
